How we handle your personal data. Written in plain language, not lawyer-speak. Covers DPDP Act 2023 (India), GDPR (EU), and CCPA (California).

01Who we are

House Sparrow Films is a Bengaluru-based video production studio operated by Veenansh Creations Private Limited. Our registered address is 87, Hosa Rd, C S B Layout, Valliyamma Layout, Kaikondrahalli, Bengaluru 560035, India. In this policy, "we", "us", and "House Sparrow Films" refer to Veenansh Creations Private Limited. "You" refers to any visitor to housesparrowfilms.com or client engaging our services.

02What personal data we collect

We collect the following categories of personal data:

Contact-form data. When you submit the contact form, WhatsApp us, email us, or book a demo, we collect your name, email address, phone number (if provided), company name (if provided), and the content of your message. This data is stored on our email server (Google Workspace) and our CRM (Notion or HubSpot depending on the workflow stage).

Website analytics. We use Google Analytics 4 to understand how visitors use our site. GA4 collects anonymized IP addresses, device and browser information, pages viewed, referring URLs, and time on page. We do not use analytics to identify individuals.

Cookies and similar technologies. Our site uses essential cookies for session persistence and functional cookies for embedded video players (Vimeo, YouTube). We do not use third-party advertising or retargeting cookies.

Client project data. During active engagements, we collect any material you share for project delivery: scripts, brand guidelines, subject-matter documents, LMS specifications, footage, and completed video files. This data is subject to a separate mutual non-disclosure agreement signed at project kickoff.

Job applications. When you apply for a role, we collect your resume, portfolio links, cover letter, and any additional documents you submit. This data is retained for 12 months from the date of application unless you request earlier deletion.

03How we use your personal data

We use personal data for the following purposes:

Respond to your inquiry. Contact-form and inbound-message data is used to reply to your questions, scope your project, and share estimates. We reply within one business day.

Deliver our services. Client project data is used to deliver the video, course, or campaign you commissioned. This includes internal review, quality control, and archival.

Improve our website. Analytics data is used in aggregate to understand which pages are useful, which are confusing, and where to invest in content.

Send occasional updates. If you have signed up for our newsletter or opted in during a project engagement, we may send occasional updates about new services, courses, or case studies. You can unsubscribe at any time using the link in every email.

Comply with law. We may retain data as required by Indian tax law, corporate law, and the DPDP Act 2023.

We do not sell your personal data. We do not share your data with third parties for marketing purposes. We do not use your data for automated decision-making that has legal or similarly significant effects.

05Who we share data with

We share personal data only with the following categories of recipients:

Service providers. We use Google Workspace (email, Docs), Netlify (website hosting), Google Analytics 4 (site analytics), Notion (project management), Vimeo and YouTube (video hosting for embeds), Fiverr and Clutch (client-review platforms), and Adobe Creative Cloud (production). Each processes data only to provide the service to us and is bound by its own terms and data-processing agreements.

Clients (during active engagements). If we are producing content on your behalf, we may receive personal data of your customers, employees, or students. We process that data strictly under your instructions and the terms of our project agreement, acting as a data processor.

Legal obligation. We may share data if required by Indian law, court order, or valid regulatory request.

We do not share personal data with advertising networks, data brokers, or unaffiliated third parties for their own marketing purposes.

06How long we retain your data

We retain personal data only as long as necessary for the purposes described in this policy:

Contact-form inquiries that did not lead to engagement: 24 months.

Client project data: Retained for the duration of the engagement, plus 7 years from delivery for statutory record-keeping (aligns with Indian tax law). After that, project files are archived offline or securely destroyed.

Analytics data: Anonymized, retained per Google Analytics 4 defaults (14 months rolling).

Job applications: 12 months from application date, unless you request earlier deletion.

Marketing subscriptions: Retained until you unsubscribe.

07Your rights

You have the following rights regarding your personal data:

Access. Request a copy of the personal data we hold about you.

Correction. Request that we correct inaccurate personal data.

Deletion. Request that we delete your personal data, subject to legal retention requirements.

Restriction. Ask us to restrict processing in specific circumstances.

Portability. Receive your personal data in a structured, commonly used, machine-readable format.

Withdraw consent. Withdraw consent for processing where consent is the legal basis.

Objection. Object to processing based on legitimate interest.

Non-discrimination. California residents have the right not to be discriminated against for exercising CCPA rights.

To exercise any of these rights, email info@housesparrowfilms.com with the subject line "Data Rights Request". We respond within 30 days.

08How we protect your data

We protect personal data with appropriate technical and organizational measures. These include: encrypted-at-rest storage (Google Workspace, Netlify), TLS 1.3 for data in transit, role-based access controls (only team members who need the data can see it), mandatory two-factor authentication on every internal account, quarterly security reviews, and mutual NDAs with every vendor that handles client data.

No security system is perfect. If we become aware of a personal-data breach affecting your data, we will notify you within 72 hours where required by law, and take remedial action.

09Cookies

We use cookies for the following purposes:

Essential cookies. Session persistence, form state, security tokens. Required for the site to function.

Functional cookies. Embedded video players (Vimeo, YouTube) set cookies to control video playback preferences. Set only when you actually load a video.

Analytics cookies. Google Analytics 4 sets a first-party _ga cookie for session identification. IP anonymization is enabled.

We do not use advertising, retargeting, or cross-site tracking cookies. You can control cookies from your browser settings.

10Children

Our services are not directed at children under the age of 18. We do not knowingly collect personal data from children under 18. If we become aware that we have collected such data without appropriate parental consent, we will delete it. If you believe your child has provided us with personal data, please contact us at info@housesparrowfilms.com.

11Changes to this policy

We may update this Privacy Policy from time to time. When we do, we update the "Last updated" date at the top. Material changes will be highlighted at the top of the page for 30 days after the update. Continued use of our services after such notice constitutes acceptance of the updated policy.
